• Payment information: processed via Stripe (we never store card numbers)
• Customer data you import: your customers' names, emails, addresses, contract details
• Support communications: messages you send to our team

• Device data: IP address, browser type, operating system

2. How We Use Information

• Provide, maintain, and improve the RentingOS platform
• Process payments and send invoices
• Send transactional emails (receipts, alerts, password resets)
• Provide customer support
• Comply with legal obligations (tax, regulatory)
• Detect and prevent fraud, security incidents
• Send marketing communications (only with your consent — opt-out anytime)

3. How We Share Information

We do not sell your personal information. We share it only with:

• Service providers: Stripe (payments), AWS/Azure (hosting), Brevo (email), Plaid (ACH), Anthropic Claude (AI features) — under data processing agreements
• Your customers: when you authorize sending them invoices/contracts/receipts via RentingOS
• Legal compliance: when required by law, subpoena, or to protect rights/safety
• Business transfers: if RentingOS is acquired, your data may transfer to the acquirer (with notice)

4. Your Rights (GDPR / CCPA)

Depending on your jurisdiction, you have the right to:

• Access: request a copy of your data
• Rectification: correct inaccurate data
• Erasure ("right to be forgotten"): delete your account and data
• Portability: receive your data in a structured format (CSV/JSON)
• Object: opt out of marketing or data processing
• Restrict processing: limit how we use your data
• Withdraw consent: at any time, without affecting prior processing
• Lodge complaint: with your data protection authority

5. CCPA-Specific Rights (California residents)

6. Data Retention

We retain your account data while your account is active. After cancellation:

• Active business data: deleted 30 days after cancellation (export available)
• Financial records (invoices, payments): retained 7 years for tax compliance
• Aggregated/anonymized data: may be retained indefinitely for analytics

7. Data Security

We implement industry-standard security measures:

• TLS 1.3 encryption in transit
• AES-256 encryption at rest
• SOC 2 Type II compliance (in progress, target Q4 2026)
• PCI DSS SAQ-A compliant via Stripe
• Regular security audits and penetration testing
• Multi-factor authentication required for admin accounts
• Role-based access control (RBAC)

No system is 100% secure. Notify us immediately at security@rentingos.com if you suspect a security issue.

8. International Data Transfers

RentingOS operates servers in the United States (Azure US regions). If you access from outside the US, your data is transferred to the US under appropriate safeguards (Standard Contractual Clauses for EU users).

9. Children's Privacy

RentingOS is a B2B platform not intended for users under 18. We do not knowingly collect data from children.
