How we use Claude AI for quotes, summaries, and churn.

"AI" became a marketing term in 2023 and has been mostly noise ever since. Most SMB software ads "AI-powered" features that are actually if-statements wearing a costume. Real AI in SMB tools is unglamorous — and that's exactly why it works.

Here's what we actually use Claude for in RentingOS, with real ROI numbers from our own operation.

1. Quote drafting from voice notes

The use case

Field technician finishes inspecting a customer's AC. They press the mic button in the mobile PWA and say (in Spanish): "Cliente Sra. García, casa de dos pisos, dos unidades viejas Trane de 4 toneladas, ambas necesitan compresor y limpieza profunda. Total estimado 3,800 dólares con descuento del 10% si firma antes del viernes."

Claude receives the audio, transcribes it, parses the line items, and drafts a formal bilingual quote in the customer's preferred language. The technician reviews on their phone, e-signs, sends. Total time: 3 minutes.

Before AI: technician returned to office, told the office manager, manager typed the quote in Excel, emailed, customer responded 3 days later. 3 days.

2. Support call summarization

The use case

Customer calls support with a complex issue. 32-minute call. Without AI, the support agent has to write a summary, log it in the CRM, and tag follow-ups. Average time: 8 minutes per call. Across 40 calls/day, that's 5+ hours of admin work.

With Claude listening (via call transcript), the moment the call ends we get:

  • 3-bullet executive summary
  • Customer sentiment score
  • Auto-detected action items with owners
  • Suggested next contact date
  • Risk flag if the customer mentioned cancellation

The agent reviews and confirms in 30 seconds, not 8 minutes.

3. Churn prediction

The use case

Every Monday morning, Claude analyzes the past week's customer data across every account: invoice patterns, support tickets, portal logins, sentiment scores, contract terms, payment failures. It produces a ranked list of accounts most likely to churn in the next 60 days.

The customer success team gets a "high-risk" report by 9am Monday. They proactively call those accounts before the cancellation request comes in. Typical save rate: ~40% of flagged accounts.

For our operation on 1,500 customers, that's 12–15 saves per month × $200 avg MRR × 24-month LTV = roughly $60–75K USD/month in retained revenue.

4. Bilingual email drafting

The use case

Customer service rep needs to write a polite "we've decided not to extend the discount" email to a customer asking for unreasonable terms. In English or Spanish, this kind of email takes 10–15 minutes to get the tone right.

With Claude, rep types 2 bullets: "Decline discount. Maintain relationship. Offer payment plan instead." Claude produces a 3-paragraph email in the customer's language, with appropriate cultural tone (formal "usted" for Mexican customer, neutral for general), ready to send after a 30-second human review.

What we deliberately don't do

We could let Claude:

We don't. Because the value of AI in SMB tools is augmenting human judgment, not replacing it. The humans always stay in the loop on customer-facing actions. The AI does the unglamorous prep work.

The cost

Total Claude API spend on our 1,500-SMB operation: roughly $340/month. Conservative time savings: 80 person-hours/month × $30/hour fully-loaded = $2,400/month saved. Net positive ROI: $2,060/month.

How to think about adding AI to your SMB

  1. Don't start with chatbots. Customers hate them. Start with internal workflows.
  2. Pick one painful, repeated task. Quote drafting. Call summarization. Email writing. Time it before/after.
  3. Keep humans in the loop on anything customer-facing. Always. No exceptions.
  4. Measure in time saved + dollars saved. If you can't show the ROI in 90 days, it's a feature you'll cancel.
